How do you ensure an ultimate charging policy that helps employees and keeps your company’s costs under control?

A well-developed charging policy is essential for smooth and cost-effective charging management in your company. It ensures that employees can charge their electric cars without any concern and helps avoid unexpected costs. But how do you do that? Here are some essential tips.

1. Ensure timely delivery of the charging card

Employees should receive their charging pass before picking up their electric car. This avoids frustration and inconvenience when driving an EV for the first time without access to a charging point.

2. Make clear which charge card to use

Only the employer’s charging card should be used. Sometimes a charging card from the car manufacturer or dealer is present in the car, but its use may lead to non-refundable charges. Clear communication on this prevents confusion.

3. Encourage the use of the charging card app

The charging card supplier’s app provides insight into:

  • Which charging stations are compatible with the card
  • The applicable charging rates
  • Any restrictions or benefits

By encouraging employees to use the app, you reduce the risk of charging stress and unexpected costs.

4. Make agreements about loss or theft of the charging card

Charging cards usually do not have a PIN code, making misuse possible if lost.

Make sure employees know:

  • Who to contact in case of loss or theft
  • How the charging card can be blocked
  • How to request a new card
  • What temporary alternatives are available (e.g. charging via the app or a private charge card as a backup)

5. Inform about alternative payment methods

Not all charging points accept credit cards or other payment methods. Inform employees about the possibilities so they are not taken by surprise.

A clear and practical charging policy prevents frustrations, reduces charging stress and keeps costs under control. By informing employees well and providing them with the right tools, you ensure that the switch to electric driving goes smoothly and remains appreciated within your company.
